Privacy Policy

Salute18 is a 501(c)(3) nonprofit with its determination pending. This policy explains what we collect through salute18.org, why, and what you can do about it. We have tried to write it in plain language rather than legalese.
What we collect
When you nominate a veteran. Your name, email address, optional phone number, and your relationship to the person you are nominating; their name, branch of service, optional service era, and any contact details you choose to give us; the story you write; and an optional video link or uploaded video file.
When you submit a partnership inquiry. Your name, work email, optional phone number and role, your company name and website, and what you write in the message field.
When you join our email list. Your email address, optional name, and the interest you select.
Automatically, on every visit. We record how you arrived — any campaign parameters in the link you followed, a referring website, and the page you landed on — in a first-party cookie that lasts about 90 days. This tells us which outreach actually reaches people. It does not identify you personally.
Nominating someone else
A nomination is, by design, information about another person. Please only nominate someone you genuinely know, and only share what you are comfortable sharing on their behalf. We use nomination details solely to evaluate and, if selected, arrange an experience — and we contact you, the nominator, before we contact them. If a nominated veteran asks us to delete their information, we will, without needing the nominator’s permission.
Cookies and tracking
We use three categories of cookie. Necessary cookies make the site work and remember your privacy choice; they are always on. Analytics (Google Analytics 4) and Marketing (Meta Pixel and similar ad platforms) are off until you turn them on. We implement Google Consent Mode v2, so these tags do not set storage or send advertising identifiers unless you have consented.
We never send your name, email address, phone number, or any part of a nomination story to Google, Meta, or any other analytics or advertising platform. Those services receive only anonymous campaign metadata and an internal reference number.

Marketing email
We only send marketing email to people who ticked the opt-in box themselves. It is never pre-ticked, and declining it never affects whether we review your nomination or reply to your inquiry. We keep a record of when you opted in and exactly what wording you were shown, so we can always demonstrate that consent was genuine. Every email includes an unsubscribe link.
We do not send marketing text messages. If we ever do, we will ask for separate, explicit permission for that specifically — it will never be bundled into an email opt-in.
Donations
We do not currently accept donations and collect no payment information of any kind through this site. Our 501(c)(3) determination is still pending, and we will not solicit a gift described as tax-deductible until it genuinely is.
Who we share it with
We do not sell your information, and we never will. We share it only with the service providers that make this site run: our hosting provider, our database provider, our transactional email provider, and our email marketing platform. Each handles your information on our instructions only. We may also disclose information where the law requires it.
How it is protected
The site is served over HTTPS. Submissions are validated and stored on our server, never posted directly to a third party from your browser. Uploaded videos are written to private storage with no public address; they can only be retrieved by an authenticated administrator through a link that expires. Access to submissions is limited to the Salute18 board members who act on them.
How long we keep it
Nominations are kept while a veteran is under consideration and afterwards as part of our records, unless you ask us to delete them. Email list entries are kept until you unsubscribe. Consent records are kept for as long as we may need to demonstrate that permission was given, which may be longer than the record it relates to. Attribution cookies expire after about 90 days.
Your choices
You can ask us what we hold about you, ask us to correct it, or ask us to delete it. You can unsubscribe from email at any time, and change your cookie preferences whenever you like. To make any of these requests, email us at the address below.
Children
This site is not directed at children under 13, and we do not knowingly collect their information.
Changes
If we change this policy we will update the date at the top. If the change is significant we will ask for your consent choices again.
